Finance and accounting outsourcing
Accounting and administrative support delivered alongside your advisors, never in place of them.
In summary: bank reconciliation, accounts payable and receivable, close support and report preparation. We do not provide tax or accounting advice: we work alongside your advisors, and responsibility for decisions and filings remains yours.
One distinction is worth settling before anything else. Outsourcing the execution of accounting processes is not outsourcing accounting judgement or tax responsibility. We do the first; the second belongs to your advisors and your company.
Within that limit, high-volume administrative work (reconciling, matching, recording, preparing) outsources well because it is repetitive, measurable and auditable.
What is included
Typical scope, tailored in the proposal.
- Bank reconciliation and transaction matching
- Accounts payable: invoice receipt, recording and control
- Accounts receivable and due date follow-up
- Recording transactions against your chart of accounts
- Preparing information for monthly and annual close
- Preparing management reports at the agreed frequency
What is not included
This limit is explicit and not negotiable.
- Tax or accounting advice of any kind
- Signing or filing returns with the Spanish tax authority on your behalf
- Decisions on accounting treatment or the tax characterisation of transactions
- Replacement of your tax advisor or your auditor
- Responsibility for compliance with your tax obligations
Where it is delivered from
From Poland where financial documentation requires data residency inside the European Economic Area, which is usual for this service, or from the Latin America corridor where the type of information allows it.
This question is worth settling before any other in finance, because accounting documentation usually contains personal data of third parties as well as sensitive information about your own company.
Spain's immediate information supply system (SII)
The SII requires VAT record books to be kept through the tax authority's electronic office. It is mandatory for companies with turnover above 6 million euros, for those taxed under the entity group special regime, and for those in the monthly refund register.
The general filing deadline is four calendar days, excluding Saturdays, Sundays and national holidays. The penalty for late filing is 0.5 percent of the invoice amount, with a quarterly minimum of 300 euros and a maximum of 6,000. For those within scope, the SII replaces forms 347 and 390.
The four-day deadline is why this service is sized against daily processing capacity rather than monthly volume: a weekly bottleneck that would be irrelevant in another process here produces penalisable delays.
This is general information about the rules and not tax advice. Determining your specific obligations is a matter for your advisors.
Frequently asked questions
Do you replace our tax advisors?
No, under no circumstances. We run administrative and accounting processes; tax and accounting judgement, decisions and filings belong to your advisors. We work alongside them.
Can you file returns on our behalf?
No. We prepare information; filing and responsibility towards the authorities are yours and your advisors'.
Do you know Spanish accounting rules?
The people assigned work with Spanish and European formal requirements, including the SII. That does not make the service advisory: it remains execution within the judgement your advisors set.
Where is financial documentation processed?
Usually from Poland, inside the European Economic Area, precisely because it avoids the international transfer. If your case allows another hub, that is assessed in the proposal.
