Appointment setting

Diaries full of appointments that hold, with the commercial call framework applied from first contact.

In summary: scheduling of sales appointments and technical visits, a service we already deliver actively for the Spanish market. It is governed by the same framework as any commercial call, including the 400 numbering obligation from October 2026 and prior screening against advertising exclusion systems.

Appointment setting is measured by a figure that is not the number of appointments: it is the share of appointments the end customer actually keeps. A diary full of no-shows costs more than an empty one, because it consumes the travelling salesperson's time.

So the measure we agree at the start is the attendance rate, not appointments booked. It is a more demanding measure for us and the only one that reflects real value.

What is included

Tailored to the sector and visit type.

  • Setting sales appointments and technical visits
  • Prior screening against advertising exclusion systems
  • Prior qualification of the contact against criteria agreed with you
  • Appointment confirmation and advance reminder to reduce no-shows
  • Integration with your diary or CRM
  • Reporting on appointments booked, attended and cancellation reasons

What is not included

What we do not do in this service.

  • Closing the sale on the call, which belongs to your sales team at the visit
  • Contractual commitments to the end customer on your behalf
  • Calls on lists whose legal basis we cannot document
  • Contacting people listed in an advertising exclusion system without their consent
  • Advice on supply contracts or the end customer's tariff terms

Where it is delivered from

In Spanish, usually from Colombia for accent neutrality in voice services, or from an onshore team in Spain.

The call must originate from Spanish numbering in the range applicable to commercial calls, regardless of which hub the team works from, and that is configured at launch.

Commercial calls: same framework, same obligations

Setting a sales appointment is a call for commercial communication purposes, so Article 66.1.b) of Law 11/2022 applies: prior consent or another basis of legitimacy under Article 6.1 of the GDPR, with the legitimate interest conditions set in the Agency's Circular 1/2023.

Article 23.4 of the LOPDGDD applies equally, requiring prior consultation of advertising exclusion systems, and since January 2025 that consultation covers more than one system.

And the Resolution of 14 April 2026 on numbering applies: after the prescribed deadline, commercial calls may only be made from the 400 range, and operators will block those that do not comply. For an appointment setting operation this is not an administrative detail, it is the difference between the campaign working and never ringing.

At the start of each call the company is identified and, where applicable, the party on whose behalf the call is made, the commercial purpose is stated, and the right to object is explained. Any objection is acted on immediately.

This is general information about the rules and not legal advice.

Frequently asked questions

Which measure do you use for the service?

Appointment attendance rate, not appointments booked. It is more demanding for us and the only measure that reflects the value your sales team receives.

Does the 400 numbering obligation affect this service?

Yes, fully. A sales appointment is set by a commercial call, so the numbering migration affects it just as it affects any prospecting campaign.

Is there a legal time window for calling?

We have not found a legally established time window for commercial calls in Spanish law, and we would rather not claim otherwise. We do agree sensible windows with you, because calling at the wrong hours destroys the attendance rate faster than anything else.

Do you work with the energy sector?

Yes, it is one of the sectors where this service is already delivered actively for the Spanish market. Worth bearing in mind that energy retailers fall within the scope of Law 10/2025 as providers of basic services of general interest.

Can you integrate with our CRM?

Yes, and it is preferable: the appointment is created directly in your system, avoiding duplication and keeping traceability on your platform.
